			<content:encoded><![CDATA[<p>Whether you write a lot and just like learning more or you feel your writing needs a lot of work, you can do many things to improve it. I was reminded of this recently by reading a blog post about the <a title="twitter makes a better writer" href="http://www.poynter.org/how-tos/newsgathering-storytelling/140751/6-ways-twitter-has-made-me-a-better-writer/" target="_blank">impact of Twitter on a writer</a>.<img class="alignright" title="Writing with a pen" src="http://www.wordconstructions.com.au/blog/images/pen writing.jpg" alt="" width="109" height="154" /></p>
<p>Here are some quick ideas you may be able to use:</p>
<ol>
<li>if your <a title="make your wriing short and sweet" href="http://wordconstructions.com.au/blog/2010/07/short-and-sweet/" target="_blank">writing is too long winded</a>, use Mallory&#8217;s trick of thinking of each sentence as a tweet - with 140 characters it is hard to waffle on!</li>
<li>read as broadly as possible &#8211; you are learning about writing every time you read something so reading different styles will teach you more</li>
<li>think about what you read &#8211; not all the time, but occasionally put some conscious thought into the words used to send a message</li>
<li>practice &#8211; there is nothing better at making you a better writer than to write, so write!</li>
<li>study writing &#8211; maybe learn to spell a new word each week, <a title="how to write well" href="http://wordconstructions.com.au/blog/writing-tips-ebook/" target="_blank">read some tips on good writing</a>, follow some blogs about writing (well done &#8211; reading this means you&#8217;ve already started!) or grab a grammar text book</li>
<li>offer to edit and read over someone else&#8217;s work, too &#8211; teaching is always a great way to cement things in your own brain, and you may be amazed at what you can learn from others&#8217; mistakes. What&#8217;s more, being able to see how others can improve their writing will probably build your confidence</li>
<li>find someone to give you some honest feedback (on specific pieces or overall) and maybe some tips on areas you need to improve &#8211; I&#8217;ve done this with a few people and it does help them hone their skills</li>
</ol>
<p>Writing&#8217;s main importance is in being able to communicate, to express yourself (or your business) to others effectively. You don&#8217;t have to be the world&#8217;s best writer but you can choose to improve and not be the world&#8217;s worst writer!</p>

<p>For many people an annual report is boring and they don&#8217;t read those they are given (such as from a superannuation fund or employer). For others, an annual report is an important part of reviewing investments and companies.</p>
<p>Then there is the group of people who are involved in preparing annual reports&#8230;</p>
<p>If you are in this group, annual reports suddenly take on a new importance and can be very intimidating to start. There is the size of the report plus the fact that an annual report is a significant, formal summary of the business.</p>
<p>There is nothing stopping a small or micro business presenting an annual report, but many bigger companies must produce an annual report within a certain timeframe. And that generally means there are specific things to be included in those annual reports alongside the standard financial summaries.</p>
<p>I have written and project managed a number of annual reports now, and I can honestly say it is a lot less intimidating now than when I did my first couple! So here are some of my tips to make writing annual reports a bit easier:</p>
<ul>
<li>prepare a list of mandatory inclusions so you can check off each thing as you add it</li>
<li>in your drafts, set up tables and use dummy text for sections you don&#8217;t know details of yet &#8211; it reminds you to include it but also helps plan spacing in the report</li>
<li>read previous years&#8217; reports to get a good idea of what the company prefers to include (for example, does each Board member get a bio or just a name?)</li>
<li>be prepared to make many edits as different people (eg technical and legal experts) read the drafts</li>
<li>set aside solid blocks of time to work on the report as it takes time. For instance, yesterday I spent two hours reviewing and refining a first designer draft of an annual report &#8211; doing it in smaller chunks of time would take a lot longer overall</li>
<li>utilise existing content where possible. For example, if you have a clear definition of a concept on your website copy that definition into your annual report instead of rewriting it. Not only does it save time, it means you have previously accepted text which saves edits and discussions</li>

<p>Here are a few tips you may or may not use &#8211; and if you have some others, please add them to the comments so I can learn them, too!</p>

<li>restrict a search to one site by using <strong>site:wordconstructions.com.au</strong></li>
<li>search for something specific on only one site by using the word and the site only command<strong> report writing <strong>site:wordconstructions.com.au</strong></strong><strong>﻿</strong></li>
<li>find the definition of a word with <strong>define:gerund</strong></li>
<li>exclude a term from your search using a minus sign, so <strong>writer -fiction</strong> will bring results for writers without mention of fiction writing</li>
<li>include all similar uses of a word or term by adding the tilde sign; for example, ~ article</li>
<li>maintain certain spelling of a word or term with a plus sign so <strong>+ Sidney</strong> will not bring up all the Sydney sites in a Sidney search</li>
<li>use * to replace any word, such as in <strong>professional * writer</strong></li>
<li>find related sites using<strong>related:wordconstructions.com.au</strong></li>
<li>find a specific file type in a search &#8211; if you want to find only word docs about spelling, for example, you enter<strong> spelling filetype:doc</strong></li>
<li>find all sits linking to a site or page using<strong>link:www.wordconstructions.com.au</strong></li>
<li>do a general search without risk of finding inappropriate (ie adult) content using <strong>safesearch:breast   cancer</strong></li>

<li><strong> </strong>use quotation marks to refine the search to your exact term; that is, <strong>&#8220;business writer&#8221;</strong> will give results about business writers only rather than results for all references to writer and/or business</li>

<p>Many of the concepts can also be carried into other forms of non-fiction writing. For instance, planning what you will put in a promotional article, blog post, report, flyer or similar still saves a lot of time and worry.</p>

			<content:encoded><![CDATA[<p>Lately I&#8217;ve heard a few business owners talk about ways to save money in their business so here are my top 10 tips for saving money without scrimping on product/service quality.</p>
<ol>
<li>review your recurring costs (such as website hosting, bank fees, phone rental and internet service) &#8211; it amazes me the difference in prices for the same service so it can be extremely worthwhile to compare what&#8217;s available</li>
<li>look for energy efficient options &#8211; even if you don&#8217;t think the environment is an issue, low energy light bulbs, efficient heaters and the like can save you money especially if you have big premises and/or a lot of staff. This includes things like adding curtains or blinds rather than have temperature gains/losses through windows</li>
<li>compare suppliers periodically &#8211; they don&#8217;t all <a title="setting prices" href="http://wordconstructions.com.au/blog/2008/02/how-much-to-charge/">adjust prices</a> the same way at the same time and some will offer you great &#8216;honeymoon&#8217; rates but not be as competitive later. Even if you don&#8217;t change suppliers, it will keep you in touch with reasonable industry rates as a reference and negotiating tool</li>
<li>consider who you <a title="outsourcing services" href="http://wordconstructions.com.au/blog/2007/11/outsourcing/">outsource</a> to &#8211; the cheapest price is not always the most cost effective option (putting aside cheapest isn&#8217;t always best!) If Sally charges $100 an hour and Mary charges $80 but Sally is twice as fast, paying Sally will probably be the cheaper option. If Sally can also do another task it may be cheaper to use her for both as she knows your business and is already working for you.</li>
<li>send statements and reminder invoices soon after an invoice is due &#8211; you will generally get better results for less effort if you ask for money when the project is fresh. Debt chasing is a waste of your resources</li>
<li>buy cheaper when it doesn&#8217;t impact on quality. For example, if store A and B sell the same product at different prices with the same level of service, buy from the cheaper store. Likewise, buying 100 pens is often cheaper per pen than buying 10 of them.</li>
<li><a title="climate change action for business" href="http://wordconstructions.com.au/blog/2009/10/climate-change-is-a-business-concern-too/">recycle and reuse as much as possible</a>. In bigger companies, a fortune can be saved if you use old letterhead or with compliment slips as staff note pads; use the back of envelopes for calculations and scribbles instead of paying for notepads; print drafts on the back of old papers; use incoming packaging to package your products.</li>
<li>turn everything off! Make sure the last person out turns off the lights, get everyone to turn off their computer and monitor at the end of the day, turn off monitors when away from your desk for more than 10 minutes, turn off printers and scanners overnight, and so on &#8211; you may be amazed at how much this can save over a year</li>
<li>be prepared and <a title="Communicating with suppliers" href="http://wordconstructions.com.au/blog/2008/04/communicating-with-suppliers/" target="_blank">communicate clearly with suppliers</a> and service providers &#8211; wasting their time will cost you money</li>
<li><a title="tracking advertising is critical" href="http://wordconstructions.com.au/blog/2008/11/tracking-advertising/">monitor your marketing</a> &#8211; if an ad isn&#8217;t helping your business then it is a waste of money (and that could include free ads!) Even ads that are working may be made less expensive (smaller size, less frequent use, etc) so try and compare the results</li>
</ol>

			<content:encoded><![CDATA[<p>Ok, proofreading is boring &#8211; not many people actually enjoy the thought of reading their work over and over again to find errors. It&#8217;s a bit better proofreading someone else&#8217;s work, but most people still don&#8217;t want to do it.</p>
<p>However, like many things in business and in life, it is necessary. Necessary that is if you want a professional finish to your written materials.</p>
<p>So here are my tips to make it as easy and painless as possible:</p>
<ul>
<li>hire a proofreader! Ok, I added this point for fun although it is a valid option</li>
<li>get someone else to read it for you &#8211; fresh eyes are more likely to spot errors and other issues</li>
<li>use a spell check to find the obvious typos (e.g. teh and yuo) BUT do not rely on it alone as it will not pick up the wrong word (e.g. know and now are both real words) and may not use your local or preferred spelling (e.g. color vs colour)</li>
<li>leave as much time as possible between writing/editing and proofreading (or subsequent rounds of proofreading) &#8211; a few days is ideal but overnight is a minimum. If time really is short, do something else in between so your mind has &#8216;forgotten&#8217; some of the details</li>
<li>read it out loud &#8211; your tongue often trips over things your eyes would accept</li>
<li>read it backwards &#8211; that way you will read the actual words instead of the sentences so spelling errors are more obvious</li>
<li>print it rather than read it on a screen &#8211; not only is this easier on your eyes, it gives a different visual perspective and you can even read it away from your desk</li>
<li>change magnification of the text &#8211; seeing it bigger sometimes makes words stand out more</li>
</ul>
<p>Some tips will suit you more than others, some will be more appropriate for particular documents, too. However, using a range of techniques (especially for more important documents) will help you achieve a higher quality document.</p>

So how can you make your writing flow?</p>
<ol>
<li>My first tip is to proof read everything you write &#8211; preferably after a decent break from it and by someone else for anything important. It is easy to write down things as they occur to you but reading it later will show the lack of flow</li>
<li>Qualify any alternative perceptions, usually words such as although, however, despite and but will help things flow better. For example &#8220;I think chocolate is best. Caramel has more flavour&#8221; doesn&#8217;t flow as well as &#8220;I think chocolate is best although caramel has more flavour.&#8221;</li>
<li>plan your messgae before you write it &#8211; if you know what each paragraph is about before you start,  you are less likely to include irrelevant material</li>
<li>Remember that you don&#8217;t have to include everything you know about a topic in one piece of writing (even a thesis will have appendices and refer to external material!) Trying to include every fact and all points of view often leads to disjointed results so just include the details relevant to your purpose</li>
<li>Check each paragraph covers only one idea and then review the order of the paragraphs so that information builds on itself and related ideas are in subsequent paragraphs. The beauty of word processing software is that you can move paragraphs and sentences around easily until they are in the right order for ideas to flow &#8211; not as easy to manage with pen and paper or a typewriter!</li>
</ol>

Having just received another one of these annoying emails, I thought I&#8217;d give some examples of why I don&#8217;t trust them&#8230;</p>

<p>So what is wrong with this email?</p>
<ul>
<li>no greeting is rude. Even if he didn&#8217;t want to take the time to research my name, he could have said &#8220;Hello&#8221; at the minimum</li>
<li>who is he? There was no other information to help me identify his business or contact him except by reply email</li>
<li>if he doesn&#8217;t know what my website is (so how did you email me then?) how can he be sure he can help my rankings improve? Maybe I&#8217;m already at the top, maybe it&#8217;s a family site I don&#8217;t care about rankings for, maybe a thousand different things that mean his service is not relevant</li>
<li>what does he mean by &#8216;top of a search engine listings&#8217; anyway? Top of page 10 in Google is still top but not something I aspire to! Top for an irrelevant or obscure keyword won&#8217;t help me either. By not being clear, he missed an opportunity to show me he knows what he is talking about and starting some trust.</li>
<li>where is he located? Yes, we could deal via email which means his location isn&#8217;t too important, but knowing he is overseas helps understand time differences. Further, I would be more likely to hire an Australian as they understand my market better and I don&#8217;t have to deal with the dollar value.</li>
</ul>
<p>Whilst I hope you don&#8217;t send out spam to get business, the above tips will hopefully help you avoid answering spam like this and help you write better sales emails.</p>

			<content:encoded><![CDATA[<p>Yesterday, I wrote about <a title="value of welcome tips" href="http://wordconstructions.com.au/blog/2009/01/welcome-tips/" target="_blank">the value of giving clients some tips</a>to develop a relationship with them as a form of marketing. Of course, the tips need to be useful for your clients and presented well to be an effective marketing tool for you.</p>
<p>Try the following tips to make your tips effective:</p>
<ul>
<li>keep each tip simple and preferably short</li>
<li><a title="Making a point only once..." href="http://wordconstructions.com.au/blog/2008/04/its-still-one-point/" target="_blank">only give each tip once</a>- repetition is pointless and boring</li>
<li>make sure the tip is clear &#8211; give an example if you think it will help</li>
<li>brand the page &#8211; add your logo and URL as a minimum, but consider coloured paper or a professionally designed template</li>
<li>make the tips genuine &#8211; giving general statements everyone knows is pointless and won&#8217;t show your customers your generosity or your knowledge/skills base</li>
<li><a title="Reducing jargon" href="http://www.wordconstructions.com/articles/business/reducejargon.html" target="_blank">avoid jargon</a> so it&#8217;s easy to understand</li>
<li><a title="Grammar &amp; details category" href="http://wordconstructions.com.au/blog/category/grammar-details-2/" target="_blank">check for correct spelling and grammar</a>- although full sentences aren&#8217;t necessary in a bulleted list of points</li>
<li><a title="style sheets offer consistency" href="http://wordconstructions.com.au/blog/2007/11/style-sheets/" target="_blank">be consistent in your presentation and writing</a></li>
</ul>
<p>Taking some effort to get your tips good is worthwhile as you can use the list over and over. It can be given to clients as a printed page or emailed as a pdf.</p>
<p>Do you already have a tips sheet? Have you checked it recently for the above points and to make sure it is still current and accurate?</p>

			<content:encoded><![CDATA[<p>Catching up on some reading over the break, I came across Melissa&#8217;s post on <a title="Welcome kits" href="http://businessmumsblog.com/?p=68" target="_blank">using welcome kits to help get repeat customers</a>. It is an interesting idea, and one used by membership places and some real estate agents.</p>
<p>Melissa gave a number of suggestions of things to potentially be included, one of which was a set of tips or <a title="promotional articles" href="http://wordconstructions.com.au/blog/2008/08/promotional-articles-2/" target="_blank">an article to help customers</a> maximise what you&#8217;ve sold (or at least told) them. I think it&#8217;s a great idea &#8211; you are providing a value beyond the expected as well as keeping your name &amp; brand in front of them, and the cost is minimal. In fact, if you compare it with the cost of marketing and advertising for new customers, it is a real bargain!</p>
<p>Tomorrow, I&#8217;ll post some tips on making your tips valuable <img src='http://wordconstructions.com.au/blog/wp-includes/images/smilies/icon_smile.gif' alt=':)' class='wp-smiley' />  But here are some ideas of tips you could produce:</p>
<ul>
<li>tips on how to use a media release (this one I&#8217;ve been doing for years &#8211; first time clients I write media releases for get a sheet of related tips)</li>
<li>tips on how to clean your product, especially if you go beyond &#8216;clean with soapy water&#8217; and explain how to deal with likely spills and stains</li>
<li>an article on search engine optimisation (SEO) with all web designs</li>
<li><a title="Getting Business Cards to Work for you!" href="http://www.wordconstructions.com.au/articles/business/usebcard.html" target="_blank">tips on uses for business cards</a> with a card or letterhead design or when helping them with a new phone number</li>
<li>a list of items that can be tax deductions for new bookkeeping or accounting clients</li>
<li>an article on how to hold a violin/saxophone/flute/etc with all new instrument purchases</li>
<li>a checklist of business set up tasks for clients you help with new accounts/website/insurance/logo design/etc</li>
<li>tips on energy saving with all new appliances and computers</li>
<li>a conversion chart when you sell cooking or craft items</li>
</ul>
<p>What tips/articles do you give out to new clients &#8211; or what have I just inspired you to produce? <img src='http://wordconstructions.com.au/blog/wp-includes/images/smilies/icon_smile.gif' alt=':)' class='wp-smiley' /> </p>
